Wedding planning studio

Weddings built by hand

Pearl Craft plans a short season of weddings each year — long-table dinners, garden ceremonies and quiet mornings that run on time. One planner, one wedding per weekend, and a schedule your suppliers can actually follow.

The studio

Small list, full attention

We plan roughly fourteen weddings a year. That number is deliberate: it means the person you meet at the first call is the person holding the running sheet on the morning of the day, and it means we can sit with your florist and your kitchen instead of emailing them a template.

Most of our couples are planning for sixty to a hundred and forty guests, often at a venue that does not come with an in-house coordinator — a family farm, a restaurant terrace, a hall that needs its chairs carried in. If your venue already has a strong events team, say so in your enquiry; we will tell you honestly whether you need us and for how long.

  • SeasonLate March to early June, then September to mid-November.
  • CapacityOne wedding per weekend. Two-day celebrations count as the whole weekend.
  • Guest rangeComfortable from 30 to 160 guests. Above that we will refer you on.
  • Working styleShared planning document, a standing monthly call, and written notes after every supplier meeting.

Collections

Three ways to work together

Pick the one that matches how much is already decided. If you are between two, choose the smaller and ask us at the first call — moving up is easy, moving down mid-plan is not.

Full Season

Twelve to eighteen months

  • Venue search and site visits with you
  • Budget built in the first month and tracked monthly
  • Supplier shortlists, meetings and contract review
  • Design direction: table plan, florals, light, sound
  • Full running sheet and supplier schedule
  • Two planners on the day, from setup to last dance

Best ifNothing is booked yet, or you are marrying somewhere you do not live.

Final Quarter

Last three to four months

  • Full review of what you have already booked
  • Gaps and risks written up in the first fortnight
  • We take over supplier correspondence
  • Floor plan, seating and timing finalised
  • Rehearsal walk-through at the venue
  • Two planners on the day

Best ifVenue and key suppliers are booked and you want the details handled.

Ceremony Only

One month, then the day

  • One long planning session, in person or by call
  • Ceremony order, readings and music cues
  • Timings agreed with celebrant and musicians
  • Setup and guest flow for the ceremony hour
  • One planner present through the ceremony and photographs

Best ifYou are hosting the meal yourselves and only want the ceremony to run cleanly.

Fees depend on the date, the collection and how far the venue is from the studio. We quote a fixed figure after the first call — never a percentage of what you spend with your suppliers.

How planning runs

Five stages, start to finish

The same sequence for every wedding, compressed or stretched to fit your collection. At each stage you know what we are doing and what we need from you.

First call

Forty-five minutes, free

We ask about the date, the guest number, who is travelling and what you have already committed to. You leave with an honest read on whether your date is workable and which collection fits. We send the fixed quote within two days.

Foundation

First month after booking

Budget built line by line, priorities ranked, and the shared planning document opened. This is also where we lock the shape of the day — ceremony time, meal time, when the room needs to be clear — because every later decision hangs off it.

Suppliers and design

The long middle

Shortlists, meetings, tastings and contracts. We read every contract before you sign it and flag the clauses that matter: access hours, weather calls, overtime, minimum spends. Design decisions are made against the budget, not beside it.

Final six weeks

Detail and rehearsal

Numbers confirmed, seating finished, and the running sheet circulated to every supplier with arrival windows and contacts. We walk the venue with you, mark where things stand, and agree the wet-weather plan in writing.

The day, and the week after

Setup to handback

We arrive before the first supplier and stay past the last. You are not asked to make decisions or answer questions on the day. Afterwards we return hire items, close out final invoices and send you the collected supplier files.

Practical notes

The questions worth asking early

Answers we give on most first calls. Read them before you enquire and your enquiry will be a much shorter conversation.

How far will you travel, and how does that affect the fee?

We plan weddings within about a three-hour drive of the studio without any travel charge. Beyond that we add a flat travel and accommodation figure to the quote, agreed up front — it is never billed afterwards as an extra. We plan two or three weddings abroad a year and those are quoted individually.

What is not included in the fee?

Everything you buy from a supplier: venue, food, drink, flowers, hire, photography, music, stationery, transport, celebrant fees. We do not mark those up or take commission, and you pay suppliers directly so you hold the contracts. The fee covers our planning time, the day-of team and our travel within the standard radius.

We already have a venue coordinator. Do we still need you?

Sometimes not, and we will say so. A venue coordinator looks after the venue's interests and usually the venue's hours — they are not responsible for your florist arriving on time, your grandmother's lift home, or what happens if the ceremony runs twenty minutes late. If your venue team genuinely covers all of that, Ceremony Only or nothing at all may be the right answer.

When do numbers and seating actually have to be final?

Final guest numbers go to the kitchen twelve to fourteen days before the wedding, depending on your caterer's contract. Seating can move until seven days out, and we keep a printed plan that can be adjusted on the morning for genuine late changes. Anything earlier than that is us being tidy, not a deadline.

What happens if the weather turns?

Every outdoor wedding gets a written wet-weather plan at the six-week stage, including where the ceremony moves to, how long the move takes, and who calls it. The call is made at a fixed hour on the morning by us with you, not debated at midday by thirty people. Marquee and cover holds are placed early where the season warrants it.

Do we have to use suppliers you recommend?

No. We bring three options at different price points for each role and explain the trade-offs; you choose. If you already have someone you love, we work with them. The only thing we insist on is a written contract and proof of insurance where the venue requires it.

Who is actually there on the wedding day?

For Full Season and Final Quarter, two of us: the planner you have worked with throughout, plus a second planner who handles setup and suppliers so your planner stays with you and the schedule. Ceremony Only is one planner, present from setup through the ceremony and group photographs.

How do holds and deposits work?

After the first call we hold your date for ten days at no cost. A signed agreement and a deposit of a quarter of the fee confirms it; the balance is split into two payments, the last one a month before the wedding. If you need to move the date, we carry everything to a new date in the same or next season at no additional planning fee, subject to availability.
